• Establishes and implements policies & procedures for administrative matters keeping in view of overall budget management and its control. • Directs and supervises all administrative matters at the office (Corporate and Brach Offices) including budgeting and expenditures. • Prepares admin related monthly accounting status report and KPI report. • Selecting and Managing 3rd party service providers. Establishing and monitoring KPIs and continuous improvements. • Handles all domestic and overseas deputation of employees including their visas, tickets, allowances, accommodation, Forex, Safety and Security of deputed employees, communications with embassies, long term and short term deputation • Handles the overseas visitors, expats, the documentation, the legal requirements, registrations, invitation letters, Food & logistics • Responsible for facility expansions, liaising with the agencies and other stakeholders including government agencies • Oversees the transportation and facilities for people. Organizes the office events within and outside office premises. • Manages security issues by establishing security plans, including evacuation plans, and coordinates with government departments including embassies. • Assures the application and receipt of all necessary general governmental permits and licenses. • Handles legal matters pertaining to such problems as contractual claims, labor/ off roll employees etc. • Contracts and keeps amicable relations with related outside organizations, such as governmental agencies and local communities. • Establishes necessary systems and takes preventive measures to protect office personnel and facilities against any possible danger or peril. Upon discovery of safety/health violation or environmental management problem in connection with facility management, transport, catering operation and prepares accident/incident report. • Ensures the implementation of visitor control measures and the issuance of ID cards, Safety briefings and have complete control mechanism in place well in advance. • Conducts administrative management of vendor representatives. Conducts periodic reviews of vendors and share developmental plan in line with Konica Minolta business requirements.Interested?
